A Replayfy workspace is where your recordings, dashboards, cohorts, and settings live. As a workspace admin you decide who gets in, what each person can do, and how the SDK behaves across every page load and app session. Everything on this page happens in the dashboard at app.replayfy.app under Settings. Most administrative actions require the Admin or Owner role — Members can view the team and settings, but not change them, and Viewers only watch recordings.
Every rule below is enforced on the server, not just hidden in the UI. If a button isn’t offered to you, the API would refuse the action too.

Invite teammates

Open Settings → Team and use Invite member (top right). You need the Admin or Owner role to see it.

Enter one or more email addresses

Paste emails into the field, separated by commas or new lines. Each recipient gets their own invitation email.

Pick the role they'll join with

Choose Viewer, Member, or Admin. You can change it later. (Granting Owner is handled separately — see Roles and permissions.)

Send invites

Recipients get a link that adds them to this workspace when they accept. If some addresses are skipped — for example, someone who is already a member or already has a pending invite — you’ll see how many landed versus how many were skipped.
Invitation links expire one hour after they’re sent. If a teammate misses the window, resend the invite to issue a fresh link.

Manage pending invites

The Pending invites list under the Team tab shows everyone who has been invited but hasn’t accepted yet.
You can’t invite the same person twice while an invite is still pending. Resend the existing one instead of creating a new invite.

Roles and permissions

Every member holds exactly one role in a workspace. Roles are ranked — a higher role can do everything a lower one can, plus more.
Only an Owner can grant the Owner role. An Admin can promote members up to Admin, but not to Owner — that keeps a workspace from ever gaining a second owner without the current owner’s say-so.
The Owner role is also protected in both directions: the workspace Owner cannot be demoted or removed by anyone, and an Owner can’t demote themselves. This guarantees a workspace always has someone in charge.

Change a member’s role

Under Settings → Team, open the Role dropdown next to a member and pick the new role. The change takes effect immediately.
  • Admins and Owners can change roles.
  • The Owner row is read-only — you’ll see a badge instead of a dropdown.
  • Only an Owner may promote someone to Owner.
Assigning Owner to another member is how you hand off a workspace — see Transferring ownership.

Remove a member

In the Role dropdown, choose Remove member and confirm in the dialog.
Removing a member is immediate and can’t be undone. They lose access to this workspace and all of its recordings right away. You can always invite them back later.
The workspace Owner can’t be removed — the option isn’t offered on their row.

Leave a workspace

Anyone can remove themselves. At the bottom of Settings → Team, use Leave workspace and confirm. You immediately lose access; an admin can invite you back later.
The only owner of a workspace can’t leave — that would strand the workspace with no one in charge. The Leave button is disabled with an explanation until you either transfer ownership or delete the workspace.
There’s no single “transfer” button — ownership moves in two steps, and only the current Owner can start it:

Promote a teammate to Owner

In Settings → Team, change another member’s role to Owner. Only an existing Owner can do this, and it’s the point of no return for sole ownership.

Step down

With a second Owner in place, the original Owner can now use Leave workspace (or stay on as a co-owner). The workspace never dips below one owner during the handoff.

Open Settings → General to see the workspace’s identity and the danger zone.

The Delete workspace control lives here and is available to Owners only.
Deleting a workspace permanently removes every recording, comment, cohort, playlist, invite, and team member. This can’t be undone. The workspace disappears from everyone’s switcher right away, and its stored data is purged in the background.

Capture settings you control

Beyond people and identity, admins tune what the SDK captures — no code change or redeploy required. Update a setting in the dashboard and it reaches your running SDKs on their next refresh, typically within about 60 seconds.
You don’t ship a new build to change any of these. The dashboard is the source of truth; each SDK picks up the latest configuration on its own, so a masking rule or a paused recording propagates in roughly a minute.
Privacy and masking rules apply on the client before data is sent to Replayfy. When in doubt, mask more — you can always loosen a rule later, but you can’t recover data that was correctly never captured.
