A workspace is one isolated project in Replayfy. It has its own recordings, its own SDK keys, its own members, and its own plan and billing. Nothing crosses between workspaces: a member of one workspace can’t see the sessions, settings, or invoices of another, and each workspace’s data retention and AI allowance are counted separately. Most teams run one workspace per product (or one per environment — say a staging workspace and a production workspace). You switch between the workspaces you belong to from the switcher at the top of the sidebar in the dashboard at app.replayfy.app, and everything on this page lives under Settings.
Every new workspace starts on the Free plan. You can’t set a paid plan by creating a workspace — paid entitlements only ever arrive through a completed checkout.

Each workspace has its own keys

When you create a workspace, Replayfy issues it a publishable SDK key (rpl_pk_…) that you drop into your app to start recording, and a server key (rpl_sk_…) for server-side calls. The publishable key is safe to ship in client code; the server key is not — keep it on your backend. Point your SDK at the workspace by its apiKey and your ingest apiHost:
Because keys are per-workspace, sending events with a workspace’s key files them into that workspace and counts against its session ceiling — never another’s. Find and rotate keys under Settings → Install. See the web install guide for the full setup.

Members and roles

Invite as many teammates as you like — seats are not metered and never change your bill. Everyone you invite gets one of four roles, from most to least access:
Only an Owner can grant the Owner role. An Admin can invite and promote people up to Admin, but can’t create a second Owner — that keeps ownership deliberate.

Open the Team settings

Go to Settings → Team. Inviting requires Admin or Owner.

Add email addresses

Click Invite member and paste one or more emails, separated by commas or new lines.

Choose a role

Pick Viewer, Member, or Admin for the whole batch. Each invitee receives an email invitation carrying the workspace name.

Track pending invites

Invitations that haven’t been accepted appear under Pending invites, where you can Resend or Cancel any of them (or Resend all).
Send a batch at mixed roles by inviting each group separately — the role you pick applies to every email in that send.

Change a role or remove someone

In the members table (Settings → Team), use the role dropdown next to any teammate to switch them between Admin, Member, and Viewer, or choose Remove member to revoke their access immediately. The Owner’s row is a read-only badge — it can’t be changed or removed. Removing someone is instant and can’t be undone, but you can always invite them back later.

Leave a workspace

Anyone can remove themselves from a workspace under Settings → Team → Leave workspace. You’ll lose access to that workspace and its recordings until you’re invited back. The one exception is the sole Owner — leaving would strand the workspace with no owner, so it’s blocked. To hand off first, promote another member to Owner (only an existing Owner can do this), then leave. Alternatively, an Owner can delete the workspace outright.
Deleting a workspace (Settings → General → Danger zone, Owner only) permanently removes every recording, comment, cohort, playlist, invite, and member. There is no undo.

Plans

Replayfy bills on a simple ladder: a free tier to evaluate on, four self-serve paid tiers, and a negotiated Enterprise tier. What you pay for is billable sessions per month — one allowance regardless of whether a session came from web, iOS, Android, React Native, or Flutter.
Compare every plan side by side in the dashboard under Settings → Billing → Change plan. Growth is the recommended tier for teams that live in their session data.

What scales with your plan

Moving up the ladder raises three things together, plus unlocks a few enterprise features:
  • Session volume — how many recordings you can capture each calendar month before the ceiling applies.
  • Data retention — how long recordings are kept before they’re permanently deleted, from 30 days on Free up to 2 years on Business (custom on Enterprise). You can set a shorter retention window than your plan allows under Settings → Retention, but never a longer one — the plan is the ceiling. Sessions with at least one captured error can optionally be kept twice as long.
  • AI allowance — the monthly bundle of credits Replayfy AI draws on (see below).
  • Seats — always unlimited and never per-user billed, on every tier.
Higher tiers also add SSO (Scale and up), audit logs (Business), and SAML / SCIM, custom retention, a self-host option, and an SLA (Enterprise).

The session counter and auto-upgrade

Your session counter runs per calendar month and resets at the start of the next month (UTC) — this is true for every plan, including Free, which has no renewal date of its own. What happens when you reach the ceiling depends on your plan:
  • Free pauses recording until the counter resets (or until you upgrade, which restarts capture immediately). No data already recorded is lost.
  • Paid tiers auto-upgrade to the next tier when you cross the ceiling — there’s no per-session overage to reason about, and no surprise metered charge. Business is the top self-serve tier, so as you approach its ceiling, Replayfy reaches out to move you to Enterprise.
You can’t switch down to a paid plan whose ceiling is below what you’ve already recorded this cycle — the move would just be undone by auto-upgrade. Wait for the counter to reset at the start of next month, or contact us. (Downgrading to Free is always allowed, since it’s a cancellation.)

AI credits

Replayfy AI — the assistant, investigations, storylines, and signals — is billed in credits, separately from your session plan. Every plan includes a monthly credit allowance (the table above), and when a bill of work needs more, you can buy top-up packs. The two behave differently, which is the important part: So a top-up is never wasted: purchased credits sit behind your monthly bundle and are only touched once the included allowance is used up.

Open Billing

Go to Settings → Billing. Buying credits requires Admin or Owner.

Choose a pack

Under Replayfy AI, click Buy more credits and pick a pack — 10,10**, **25, 50,or50**, or **100. At 100,000 credits per US dollar, that’s 1M, 2.5M, 5M, or 10M credits.

Pay in place

Enter your card (Link and wallet methods are supported too) and confirm. Credits land on your balance within a few seconds of a successful payment.
The Billing page shows where your credits went — a breakdown by product surface over the last 30 days — plus a receipt for every top-up. When your AI credits run out, AI features pause until the next monthly reset or your next top-up; recording and analytics are unaffected.

Manage billing

Everything money-related lives under Settings → Billing, and all of it requires Admin or Owner. Members and Viewers see the page read-only. The billing page shows your current plan, this cycle’s session and AI usage, your payment method, and your invoices.

Pick a new plan

Plan changes are instant and prorated. Upgrading or moving between paid plans on a live subscription charges only the prorated difference right away — no redirect. A first paid subscription is completed with an in-page checkout.

Downgrading to Free is a cancellation

Choosing Free cancels your subscription. Your paid plan stays active until the end of the period you’ve already paid for, then the workspace drops to Free.
Downgrading to a shorter retention window permanently deletes recordings older than the new window when it takes effect. Replayfy shows you exactly what will be lost before you confirm — there’s no undo and no export afterward.
If you scheduled a cancellation but change your mind before the period ends, click Keep my plan on the Billing page to resume renewing.

Payment method, invoices, and receipts

Your card, past invoices (each downloadable), and tax details are managed in the billing portal — open it with Manage in portal on the Billing page. Invoices also list directly on the Billing page once you’re on a paid plan, with Show older invoices to page back through your history.

If recording stops

Replayfy tells you plainly at the top of the Billing page when capture has paused, and gives you the one action that restarts it:
A past-due payment doesn’t stop recording right away — Stripe retries the card for a few days first. Updating the card during that window retries the charge immediately and keeps you running.

Enterprise billing

Enterprise plans are billed on a contract, so volume, retention, and invoicing are handled by your account manager rather than self-serve. Your invoices still appear on the Billing page. To discuss Enterprise, contact [email protected], or reach your account team at [email protected].
